Working Hours/Days

This is a full time, exempt position. The employee will be expected to work the hours necessary to fulfill the position's duties.

Overview

The Data Center Operations Supervisor collaborates closely with the Data Center Operations Manager and Data Center Support Manager to oversee the daily operations of the Altorfer Data Center team. Their primary responsibility is to handle administrative tasks such as work order management, purchasing, scheduling, equipment population maintenance, service letter/bulletin tracking, and information library management. Additionally, they serve as the main point of contact for customers seeking aftermarket support for commissioned units/sites, including repairs and preventative maintenance work. This role demands a highly organized and adaptable individual capable of promptly prioritizing the needs of multiple internal and external stakeholders. 

Basic Duties

  • Collaborate with the assigned service writer, or perform this duty directly, to open all Data Center work orders, including commissioning, warranty, non-warranty, and preventive maintenance (PM).

  • Collaborate with the Data Center Operations Manager to assign Data Center technicians and distribute work orders to them. Occasionally coordinate with Field Service Supervisors to schedule non-Data Center technicians when additional manpower is required.

  • Assist with ordering CAT and outside parts for all assigned data center sites, working with assigned employees/technicians. Ensure accurate tracking of parts and core returns.

  • Review and reconcile credit card and open account purchases entered by Data Center technicians using the Wells Fargo and Bill.com systems.

  • Perform daily reviews of assigned Data Center work orders to verify correct labor, travel, mileage, notes, parts, and miscellaneous items entry. Collaborate with technicians to address any deficiencies.

  • Review and prepare assigned Data Center work orders for closure. Close work orders following review by the Major Data Center Support Manager, as necessary.

  • Distribute invoices to customers when required. Collaborate with customers to identify appropriate blanket purchase order (PO) numbers and request additional purchase orders when needed.

  • Monitor open invoices and work with Data Operations Manager on invoice disputes or other issues.

  • Collaborate with the Data Center Operations Manager to address CAT or vendor warranty claim issues.

  • Serve as the primary point of contact for service and PM scheduling/project management for the assigned list of commissioned Data Center units.

  • Attend customer/Holt CAT meetings (primarily remotely) as necessary for commissioned data center scheduling, status updates, or other relevant topics.

  • Collaborate with the Data Center Operations Manager to maintain a centralized library of procedure instructions/documentation accessible to Data Center technicians.

  • Collaborate with the Data Center Operations Manager to identify and implement new procedures and improve existing ones.

  • Collaborate with the Data Center Operations Manager/Inside Sales to prepare non-warranty repair and PM quotes.

  • Collaborate with the Data Center Operations Manager to prepare and maintain a library of Method of Procedures (MOPs) and Statements of Work (SOWs).

  • Track the completion status of service letters and service bulletins for assigned Data Center equipment.

  • Ensure accurate and up-to-date entry of assigned data center equipment population.

  • Collaborate with the Data Center Operations Manager to conduct performance reviews of Data Center technicians.

  • Assist the Data Center Operations Manager in managing safety department requirements for assigned technicians.

  • Assist the Data Center Operations Manager in managing the training and development of assigned technicians.

Qualifications

  • Associate or Bachelor’s degree in business or 2+ years of experience in a service supervisory setting.
  • Must demonstrate experience using excellent leadership skills to influence others positively to accomplish goals.
  • General knowledge of safe work practices and personal protective equipment in a service setting is necessary. Above-average computer skills are required, especially with Microsoft Outlook, Excel, and Word.
  • The ability to write professional business communication by email or letter is required. Excellent communication skills and customer service skills are needed.
  • Must have a valid driver’s license with a clean driving record. The record must not show more than two minor violations within three years and no major violations within the past five years (A Motor Vehicle Report will be pulled on the final candidate).

Payrate: $70,000 - $85,000 annually

Physical Requirements/Working Conditions

This position works in an office environment and in service shop environment. May, on a continuous basis, sit at a desk for a long period of time; answer telephone calls, write or use a keyboard to communicate through written means. May on a continuous basis be on shop floor supporting service operations. Must be able to lift up to 75lbs. safely. Will be required to wear appropriate safety equipment (IE- Safety glasses or side shields, safety boots, gloves) when needed. Noise level in the shop environment is usually moderate to high and the noise level in the office environment is usually low. Must be flexible to work varying schedules and hours as needed. Occasional local travel may be required. The physical demands described above are representative of those that must be met by an employee to successfully perform the essential functions of this job.
