Overview

Altorfer is seeking a professional, customer-focused individual to serve as the first point of contact for visitors and callers while also providing essential support to our accounting team. This hybrid role blends front desk reception duties with accounts payable and data entry tasks within our ERP system. The ideal candidate will demonstrate exceptional communication skills, a high level of accuracy, and the ability to manage multiple responsibilities in a fast-paced environment.

Basic Duties

Front Desk & Reception:

  • Greet and assist on-site visitors in a courteous and professional manner.
  • Answer and route incoming phone calls, determining the nature of the inquiry and directing accordingly.
  • Provide general information about Altorfer Inc., including directions and company contacts.
  • Sort and distribute incoming mail and interoffice shuttle items daily.
  • Maintain a clean, safe, and organized reception area.
  • Support administrative tasks and special projects as needed.

Accounts Payable & Data Entry:

  • Process vendor invoices accurately and ensure timely payments in accordance with company policies.
  • Reconcile vendor statements, research discrepancies, and communicate with suppliers to resolve issues.
  • Enter and maintain accurate financial data in the ERP system.
  • Assist with maintaining organized records of accounts payable transactions and documentation.

Qualifications

  • Minimum of 2 years of experience in a receptionist, administrative, or customer service role, with a strong phone presence and a commitment to delivering excellent service.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
  • Positive, friendly demeanor with the ability to multitask in a fast-paced environment.
  • Strong verbal communication and interpersonal skills.
  • Highly organized, dependable, and detail-oriented with strong time management abilities.
  • Self-motivated and adaptable, with a collaborative and team-oriented mindset.
  • High school diploma or equivalent required.
  • Valid driver’s license required; a Motor Vehicle Report (MVR) will be conducted for the final candidate.

Physical Requirements/Working Conditions

This position works in an office environment. There may be times when you may need to go out into the service or warehouse area and will be required to wear appropriate safety equipment (IE- Safety glasses or side shields). May, on a continuous basis, sit at a desk for a long period of time; answer telephone, transfer calls to the correct destination and write or use a keyboard to communicate through email. Must be able to walk, bend, and lift up to 20 lbs. The physical demands described above are representative of those that must be met by an employee to successfully perform the essential functions of this job.
